There is a high demand for our Ranch experience and we ask that you make your reservations very clearly with regard to the amount of time that you wish to stay with us. The HF Bar Ranch has a 4 month guest season. It is imperative that we be able to offer every available space. For example, if you make a reservation for two weeks, we must hold you to those two weeks unless you cancel directly with us two months PRIOR to your arrival date.
Our 2016 nightly rates are:
$300.00 per person per night for ages 13 and over
$240.00 per person per night for ages 5 to 12
$80.00 per person per night for children ages 3 to 4
There is NO charge for ages 2 and under
These charges include your cabin, horseback riding (twice per day or once per day for a long picnic ride), all fresh-ingredient meals, Kid Team activities, hiking, fishing without a guide (State licenses are required) and many other amenities. We do cater to any special food requests including gluten-free, vegetarian and the like. Upon check out, an 18% service charge, 6% sales tax, and 2% lodging tax will be applied to every final statement.
New in 2016: We DO require a minimum 5-night stay during our peak season – June 1st through Labor Day Weekend. This policy is strictly enforced. In other words, if you reserve for five nights, you pay for five full nights.
On our shoulder seasons, May 15th through May 31st and September 10th through October 1st, we offer a discounted rate of $195.00 per person per night. Services are limited during that time, including no Kid Team, horseback riding once daily which could include a picnic ride. We can arrange special hayrides or activities during that time, by request. We do consider this time as more for adults as many children are back in school and the Ranch is less entertaining for young people during that time..

DEPOSIT & CANCELLATION POLICY
A deposit of 50% of the total cost of your stay is required at the time that you make your reservation. We do take all credit cards, personal checks, cash and money orders.The remaining 50% of the stay will be due 60 days prior to your arrival date. No deposit refunds will be given within 60 days of your arrival date.
For any changes made to a reservation, within 60 days of the arrival date, the guest is obliged to pay the full amount for the original reservation made. In other words, coming a few days later or leaving a day or two earlier is up to you, since you will be paying for the entire reservation. We have such limited space and we truly ask for your concentration in securing your correct dates. For this reason, we suggest that you look into trip insurance. As we all know, plans do change and trips do get delayed. Travel insurance is a good way to protect yourselves. We do our very best to meet all guest requests with regard to cabin placement and “favorite” horses. Since our cabins vary in size and we do not have a “set” departure and arrival day, we must fill our spaces according to need first and special preference second. The same is true of a horse that you wish to ride who may be in use at the time of your arrival. We ask that you remain flexible and rely on us to make your stay pleasant and comfortable.
Normal check-out time is 1:30 p.m. Just inform the Office when you would like to depart.
As stated, the Ranch accepts all major credit cards. We will be delighted to accept a personal check, Travelers Cheques, or cash as payment, as well.
Guests stay in cozily appointed cabins with a living room, open fireplace, private baths and comfortable porches. In addition to living accommodations and meals, rates include use of a saddle horse and most Ranch facilities. The only extra expenses incurred are for personal laundry, beer, wine & spirits, purchases made in the Ranch Store, massages, shooting, paintball or guided fishing. Occasionally, special-event preparation fees may be charged. These would include hors d’oeuvres ordered from the kitchen and special barbecues and picnics arranged for families apart from a normal riding picnic where no set-up is required. Some pets are allowed, with permission from the Office. Please note: your reservation may be subject to certain pet-friendly cabins and Ranch policies.
The hours for horseback riding are:
Morning ……………………………….9:00 a.m. – 11:45 a.m. (last horse out by 10:00)
Evening ………………………………..6:45 p.m. – 9:00 p.m. (last horse out by 8:00)
In late August, as the evenings come earlier, we switch to afternoon riding from 2:00 p.m. – 5:00 p.m. All-day Picnic rides return to the Ranch by 4:45 p.m.
There are no picnics and no evening riding on Saturday as it is our Horse Holiday for the horses and the wranglers to have a half day rest. Riding for children under 5 is restricted – for safety reasons, this policy is strictly enforced. During the morning and evening rides we have Corral space dedicated to supervised pony rides for the children too young for trail rides. The horses are theirs to brush, lead or ride around the Corral. This is a great way for the kids to become familiar and confident with the horses.
Meals are served during these hours:

Ranch babysitters, for individual family care, are available daily, if set up in advance, for $12.00 per hour up to 2 kids, and $2.oo more for every additional kid. We do have a vibrant Kid Team during morning and evening riding, which is included in your nightly rate. We suggest flying into Gillette, Wyoming, Billings, Montana, Casper, Wyoming or Rapid City, South Dakota. All are within 4 hours driving time from the HF Bar Ranch and ALL of those routes will get you here. Another very plausible alternative is to fly into Denver, CO and drive direct. That trip is 400 miles by Interstate 25 straight to the Rock Creek exit. All of these methods are, presently, more timely and assured.
Rental cars are available through Avis and Enterprise from the Sheridan, Wyoming Airport. There are limited numbers of rental cars so book early if you think you may want to have a vehicle. If you fly into Billings, Montana there is a car service that will bring you to the Ranch, A-Plus Limo and their number is (406)-252-0900. You may also, fly into Casper, Wyoming and can either rent a car or possibly find a car service to drive you to the Ranch. Flying into Rapid City, South Dakota you will need to rent a car as it is a 3 1/2 hour drive to Saddlestring.
There are two Ranch vans which may be rented during you, based on limited availability, for $40/hour and proof of a valid driver’s license and over age 21.
While we are all about families unplugging and getting into the focus of the land around them, we know that the world is still out there. Many business people and college students just cannot be away from their email for too long. In fact, we have found that vacations are more relaxing and last longer if one can check in, occasionally, with their office, house sitter, and whomever. The entire ranch campus is covered by a WiFi signal. THAT leaves it up to every individual…kids included!… to “turn off” and and get outside!
Whenever possible, local guests are welcomed around our tables for lunch or dinner: Each meal features a set menu of fresh bread, a salad course, and entree and dessert ($35 per person and $20 for kids plus tax and gratuity).
